Teamwork makes the dream work: Award Force unveils entry collaboration

by | Dec 30, 2024 | Feature focus

If your awards program allows team-based awards entry, you are especially familiar with the complexity of opening your award form to multiple users.

For example, you don’t want people sharing passwords and logins to complete the entry. You need to enable collaboration without sacrificing security. You want to provide teams a way to access and contribute to a single entry to complete together in an easy, streamlined submission process. No messy back-and-forth, overwriting or miscommunications.

Enter: Award Force entry collaboration, a Premier account feature, which enables teams or a group of entrants to securely collaborate on an entry in real-time without shared logins or additional workflows.

The benefits of entry collaboration

There are several unique benefits to a collaborative entry process:

  • A showcase of diverse perspectives and skill sets—with more and different people contributing to the entry.
  • Improved division of labour. Awards entrants can share the workload and do more in less time.
  • Improved submission quality—collaboration allows for self-review within the entry submission team, resulting in a better quality submission.
  • Faster and more accurate submission completion, avoiding excessive back and forth.

How entry collaboration works in Award Force

To enable entry collaboration in Award Force, awards managers can simply tick a checkbox in form settings. This will then allow entrants to invite others to help them complete the form.

Entry submitters can invite others to collaborate in two places: directly on the form itself, or from the list view in “My entries.”

When adding a collaborator, the entrant can decide which permissions to give each collaborator:

  • View only
  • View and edit
  • Or view, edit and submit.

Invited collaborators will receive the invite via email and can register and log in securely to get started.

Multiple collaborators can then work on the entry form at the same time. Any field that is currently being edited by one collaborator will be locked for others, making it easy to collaborate quickly without writing or editing on top of one another.

As an awards manager, you can quickly see how many collaborators are involved with an entry in the list views in Award Force. Once you click into the entry, you can see the names of all contributors, making it easy to see who is working on what.

Entry collaboration is also available through webhooks and the Award Force API.
