Feature focus: Save time + automatically check entrant eligibility

by | Aug 11, 2022 | Feature focus

We know your time as an awards manager is valuable—and that’s why we’re excited to share our latest new feature designed to moderate your entries in a flash!

For awards programs that need to check entrant eligibility, Award Force’s new automatic eligibility screener elegantly redirects ineligible entrants while allowing eligible entrants to seamlessly continue with their submission.

Built to be flexible, the eligibility screener can be used to lock/unlock subsequent sections of the entry form, apply to individual categories, has built-in notification and content settings and so much more.

All participants receive enormous time savings!

Program managers benefit from reduced entry management overhead; judges only spend time adjudicating eligible entries; and ineligible entrants are automatically advised of their status, minimising their effort and respecting their time.

How it works

In Award Force, the drag-and-drop entry form is created with a combination of fields and tabs. Fields are essentially the questions entrants have to answer and tabs help you group those questions in a logical and easy to follow way.

Eligibility screening works through the use of an auto-scored field and an eligibility tab.

Where auto-scored fields assign a score to a predetermined answer on a field (like a multiple choice question), the eligibility tab goes even further and totals the scores from all these auto-scored fields and compares this to the minimum score required to achieve eligibility.

If the entrant score is below the minimum threshold, they are ineligible and are shown an ineligible message (which you can fully customise) and the form is locked to prevent further activity from the entrant and stop trial-and-error submissions.

In addition to the  on-screen message, ineligible entrants can also receive an automatic email notification to advise them of their entry eligibility.

You can also create an on-screen message and email notification for eligibility, and entrants are otherwise unaffected to seamlessly continue with their entry.

The eligibility screening feature provides some options for you as an award manager:

  • You can have as many eligibility tabs as you need. If there is more than one eligibility tab, eligibility is evaluated on submission of each eligibility tab.
  • If your award program uses categories, eligibility tabs can be shown to all or some categories.
  • You can choose to hide other tabs on the entry form until the entrant passes the eligibility screener to keep the form tidy and digestible.
  • To use the eligibility screener as a gatekeeper for the rest of a form, place it before tabs that have questions for eligible entrants only.

Five benefits of using Award Force’s eligibility screener

1. Considerable time savings. Applying to an awards program takes time to do well. An initial eligibility check can help identify ineligible entrants and allows only qualified entrants to progress through the bulk of an entry. This saves them an incredible amount of time. And, by screening out ineligible entrants, program administrators, managers and judges also benefit from only spending time on the entries that suit the awards program criteria and goals.

2. Program transparency. In Award Force, eligibility screening can be configured to immediately inform entrants of their eligibility status, right when it matters. This eligibility transparency cuts down on follow-up queries and sets a transparent standard everyone can see and agree to.

3. Better experience for participants. Not only do participants in your program save time, their experience is enhanced too. Eligibility screener does the heavy lifting, meaning you and your program participants don’t have to deal with several administration tasks just to get qualified entries into adjudication.

4. Reduced human error. When manual tasks are delegated to a digital solution, the chance of human error is significantly reduced. No more tired eyes or miscategorised entries eligibility.

5. More efficient process, more effective outcome. By diverting ineligible entries, everyone in your awards program receives immediate efficiency benefits. The reduced human error and greater transparency means your program outcomes are more effective and your program support goes exactly where it needs to.
